Granting Access to Join Your Board or Committee

Administrators, Chairs, and Board Secretaries can use the People tab to add, edit, invite, revoke access for, and remove people from their BoardPro organisation.

Keeping people and permissions up to date helps ensure secure access and smooth collaboration across your board.

To send or resend an invitation to grant access to BoardPro:

  1. Go to the People tab.

Click the context menu (3 dots) beside the person you want to invite or re-invite to your board or committee.

2. Click Grant Access.

3. A blue confirmation message will appear stating, “Invitation Pending”.

Note:
Invitations are valid for 30 days. This applies to both lost and expired invitations.

Invitation Status

Once an invitation has been sent, the person's status will display as Invitation Pending beneath their name until they accept the invitation and complete their account setup.

  • If the invitation expires, it can be resent using the Grant Access option from the person's profile or menu.

Note: Board Packs notices are sent only to those who have accepted their invitation and activated their account. This helps ensure that confidential information is shared only with verified users.

Best Practices for Managing User Access

  • Regularly review the People list to identify users who have not accepted their invitations.

  • Resend invitations promptly using the Grant Access option when required.

  • Remind users to accept their invitation to access Board Packs and other board materials.

Important: BoardPro works best when each person has their own unique email address. Using shared or role-based email addresses (such as treasurer@ or president@) can create challenges when roles change, multiple people need access, or historical records need to be maintained.

If your organisation chooses to use a shared email address, we recommend having a clear process for managing access and updating account details whenever responsibilities change.
