How to Request Signatures

In Governance Documents, open the Options menu on the document and select Request Signature. This option is available for all types of documents except spreadsheets.

This option will open a pop-up where you can see the document and place signature fields at appropriate locations.

Use the sidebar to drag and drop fields precisely, ensuring they match the required signing areas. Double-check the positioning for accuracy to avoid resending the document later.

Select the first signer from the drop-down menu, then drag and drop the required fields from the sidebar onto the document. If a field is not correctly sized for your document, you can adjust it by selecting it and resizing it with the circular grab handles.

You can place as many signature fields as you like for the same signer. If you need to place fields for multiple different signers, select a different person from the drop-down menu to place fields for them.

Note: You cannot select someone as a signer who cannot access to the document. Click here to find out more.

For instance, individuals might lack access if they have not accepted their invite to BoardPro or if the document is stored in a restricted folder such as 'Board Only', accessible only by board members.

Once all required signature fields are placed, select Next at the bottom right to notify the signers.

The notification pop-up will appear, and BoardPro will automatically select the signers based on the signature fields placed in the document.

Here you can customize the greeting and include any additional comments or notes for the signers. Click the Send button to send the email notices to all signers.

You can tailor these messages based on the document type or urgency, which helps in ensuring signers understand the priority and context of their action.

How to Sign the Document

Signers receive an email notice to sign the document. They can click the Review & Sign button in the email to open the document in BoardPro and sign it directly.

The signature request will also show under Pending Signatures on your BoardPro Dashboard page or in the BoardPro Notes iOS app. Select Sign Document to open the document for signing.

Once you're ready to sign, select Review & Sign at the bottom right. The document will automatically scroll to the first signature field.

The signature field will be highlighted for you to sign. Click the signature field to sign the document. A pop-up will appear asking for your signatures.

You can choose to draw, upload an image, or type your signatures, and optionally save them for later reuse. If you decide to upload an image, the accepted file types are PNG, JPG, and JPEG.

When you add signature and date fields, the date fields are automatically filled with the current date after your signatures are placed. If your signatures are required in multiple locations, you will see a Next button. Click on this button to automatically scroll to the following signature field.

Once all signers have signed the document, a completion notice will be sent to the requester. Once signed, documents are converted to PDF.

If any changes are required after the document is signed, you must re-upload the updated document and request signatures again to maintain consistency and accuracy.

People who cannot be selected as a Signer

There are multiple reasons why a person in your organisation may not have access to a document, and therefore cannot be selected as a signer:

  1. The person has not accepted their invitation to join your organisation in BoardPro.

  2. The document is in a Board Only folder, and that person is not a board member.

  3. The person has had their access to your organisation revoked.
