Adding a Remote Meeting Link

BoardPro supports online meeting participation by integrating with web-based remote meeting tools. By adding a meeting URL, organisers can centralise access and ensure attendees can easily join the correct meeting.

Adding a remote link

BoardPro does not generate remote meeting links. You must create your meeting using a third-party service such as Zoom, Google Meet, or Microsoft Teams.

Follow these steps to add the meeting URL:

  1. Set up your online meeting in your preferred platform and copy the URL.

  2. Log in to BoardPro and go to the Meeting page.

  3. Paste the URL into the Video URL field and save.

  • For Microsoft Teams, right-click Join meeting now and select Copy link.

  • For Zoom, copy the meeting URL generated when scheduling the meeting.

The link will appear in meeting notifications, reminders, the agenda, the Board Pack, and future email invitations.

Remote Meeting Only option

Use the Remote Meeting Only option to indicate that the meeting will be held online.

This ensures all participants understand that attendance is remote.

Edit or remove the remote meeting URL

To update or remove a meeting link:

  1. Click the three dots at the end of the URL field.

  2. Select Edit to update the link or Remove to delete it.

To edit the link:

  • Delete the existing URL.

  • Paste the new URL.

  • Save your changes.

To remove the link:

  • Click Remove.

  • Click Undo within a few seconds if removed by mistake.

Tip: Send a meeting notification to yourself to test the updated link.

FAQs

Does BoardPro create the meeting in the remote software?

No. BoardPro does not create meetings in Zoom, Teams, or Google Meet. You must create the meeting in your chosen platform and copy the URL.

Steps:

  1. Create the meeting in your preferred platform.

  2. Copy the meeting URL.

  3. Paste it into the Video URL field in BoardPro.

Note: For Microsoft Teams, right-click Join meeting now and select Copy link. For Zoom, copy the link generated when scheduling.

What meeting tools do not work with the remote meeting link?

Tools like FaceTime and Skype do not use meeting links. Participants join directly in the app. Provide alternative instructions, such as a contact ID, if using these tools.

Where can I join the meeting?

You can join the meeting from:

  • Calendar invitations or email notices

  • The Meeting Details page in BoardPro

  • The top of the Agenda

  • The Board Pack
