How to Select Actions for the Meeting
Make sure the meeting is in the “Draft Agenda” stage.
Click on the “Action Item List” agenda item.
From the list of available actions, select the ones you want to pull through to your board pack using the filters (Overdue Actions, Actions completed since or Actions due in future). Ensure you use the filters to select the most relevant tasks aligned with the meeting's goals, and publish the agenda thereafter for final inclusion in the Board Pack.
To exclude specific actions from the agenda, adjust the filters to exclude specific items before publishing. For example, actions that are overdue, recently completed, or due in the future can be hidden based on your preferences. This added control helps tailor the agenda to the meeting's focus.
What Happens Next?
When the Board Pack for the meeting is generated, all outstanding action items added via the "Action List" are immediately incorporated. This feature ensures that pending actions provide a structured view for discussion but does not allow for the exclusion of specific actions.
Published agendas ensure all linked action items appear seamlessly in the Board Pack, providing a complete reference for board discussion.
Can I Pick and Choose Actions to Include?
BoardPro automatically includes all selected actions in the meeting agenda and Board Pack, ensuring that a comprehensive list of pending items is available for review. However, to exclude specific actions from the agenda without deleting them, update the filters in the Action List agenda item and republish the agenda to update the Board Pack accordingly. If you notice any action items missing from the Board Pack, check whether the "Actions List" agenda item has been included and published correctly.
However, filters are available to limit viewable items, such as completed actions for easier readability, without altering the included list. For example, if action items are unavailable, verify that the "Actions List" is in the agenda and confirm its publication. To exclude specific actions from appearing in the published agenda, use the filters in the "smart agenda" feature. Adjust the filters to ensure unwanted actions are excluded and then republish the agenda. These filters allow for greater customization while maintaining data integrity. For tasks that no longer need tracking or visibility, note that while permanent deletion of action items is not supported, filters can effectively manage their display, keeping the focus on current priorities.
Downloading the Action List within the Board Pack
Once the Board Pack is generated from a published agenda, you can download the PDF, which will include the Action List. This combined document offers a comprehensive overview for review or printing.
