Why a Board Member Might Not Appear in the Email Recipient List

When you are ready to send the agenda, Board Pack, or minutes, a confirmation window will appear. This allows you to review the recipients and send the documents by email.

Important: Notifications and Board Packs are not always sent automatically in BoardPro. To ensure recipients receive the agenda, Board Pack, or minutes, you must confirm and send the notification when prompted.

You may notice that one or more recipients are missing from the list of available recipients. This can occur for several reasons.

If a recipient's name appears greyed out, it means they do not have login access to BoardPro and therefore cannot receive notifications.

Managing the Attendee List for Accurate Notifications

To receive meeting notifications and Board Packs, individuals must be included in the meeting's attendee list.

To add attendees to a meeting:

  1. Open the meeting from the Home page.

  2. Select Add from the People list.

  3. Choose the individuals you want to add as attendees.

  4. Save your changes.

Once added to the attendee list, attendees can be selected to receive meeting notifications and Board Packs.

Sending Notifications: Agenda and Board Packs

When an agenda or Board Pack is published, notifications are not sent automatically unless they are manually triggered.

To check whether a notification has been sent:

  • Open the meeting in BoardPro.

  • Click the three dots in the top-right corner of the meeting page.

  • Select Email History.

  • Review the email history to confirm whether the notification was sent and who received it.

When sending or resending notifications:

  • Board Members are automatically selected to receive notifications.

  • Non-Board Members must be manually selected by ticking the checkbox next to their name.

  • Recipients whose names appear greyed out do not have login access and cannot receive notifications.

If a notification has not been sent, you can manually send the agenda or Board Pack notification from the meeting page.

Best Practice Tips for Managing Notifications

  • Always verify your attendee list to ensure all intended recipients are listed.

  • Use the Email History option to confirm that notifications were sent successfully.

  • If any recipients are missed, you can resend notifications manually from the meeting page.

Verifying Published Items

To confirm the details surrounding the publication of meeting items, consult the Audit Log available in the Agenda tab.

  • The Audit Log lists the specific time and details of what has been published, helping administrators verify intended publications.
