How Do I Delete a Committee in BoardPro?

Effectively managing your BoardPro account often involves deleting committees when they are no longer needed. Follow the comprehensive instructions below to delete committees, understand the implications, and ensure proper account management.

Steps to Delete a Committee

  1. Access the Correct Area in Your Account: - Log in to your main board account. - Navigate to the 'Committees' tab. This may appear under 'Organisation' on the top right, or in the left-hand menu.

  2. Find the Committee: - Locate the committee you wish to delete.

  3. Initiate the Deletion: - Click on the three-dot menu icon next to the committee name and select 'Delete.'

  4. Confirm Deletion: - Confirm the action by selecting "Yes, delete." Your committee will now move to the deleted committees list.

  5. While deleting a committee, you should also update the number of licenses on your subscription to reflect the change accurately with the 'Manage Licences' button.

Recovering Deleted Committees

  • Deleted committees will appear under 'Deleted Committees' and are recoverable for up to 30 days after deletion. During this time, they remain inactive and cannot be used. After the 30 days have passed, the committee and all its data will be permanently deleted and unrecoverable.

Important Note: BoardPro does not include an archiving feature. Ensure you download and save any critical meeting records or governance files before proceeding with deletion, as there are no mass-export options available.

Billing and Subscription Impact

While deleting a committee, you should also update the number of licenses on your subscription to reflect the change accurately:

  • Adjust Licenses: After deletion, reduce the active licenses in your subscription settings by one to avoid being billed for unused committees. This adjustment will take effect during your next subscription renewal.

  • Financial Considerations: It’s recommended to delete committees promptly to align your subscription charges effectively.

Troubleshooting Common Issues

Missing the 'Three Dots' Menu

If you don’t see the menu for committee deletion, ensure you:

  • Look in the 'Committees' section under the main tab.

  • Verify you’re in the correct board account if overseeing multiple boards.

  • Have the correct access level to make the change (Admin, Chair or Board Secretary).

Efficient committee management is key to keeping your BoardPro account streamlined! By following this guide, you can cleanly delete committees, stay on top of your subscription details, and ensure necessary records are preserved before making changes.
