BoardPro uses role-based access control to maintain the confidentiality of sensitive information. Understanding the permissions associated with Executive Guest users on your People list helps ensure access is managed appropriately.
What Executive Guest users can access in BoardPro
Executive Guest users have the most restricted access level in BoardPro and can only interact with a limited set of features.
Meeting access
Executive Guest can view the date and time of meetings they are added to as attendees. They cannot access Agendas, Meeting Packs, or Minutes.
Action items
Executive Guest can view and update only the Action Items assigned to them.
Other accessible pages
Executive Guest can view the Meeting Calendar and People List pages. This allows them to stay informed of scheduled meetings without accessing sensitive information.
Document access for guest users
Executive Guest users do not have access to meeting documents, including board papers or committee folders. Their permissions are limited strictly to Action Items assigned to them. This ensures critical documents remain inaccessible to users with lower access rights.
You can share the board pack with an Executive Guest user as needed.
Best practices for handling sensitive meetings
If a meeting requires a higher level of confidentiality, such as when managing conflicts of interest, consider using a Board Only folder or managing the discussion outside of BoardPro. This helps ensure sensitive information is not visible to unauthorised users.
Important: Executive Guest users cannot access meeting documents, agendas, meeting packs, or minutes.
