Board members typically prefer to receive all meeting documents together in a single Board Pack. Traditionally, these documents were printed and couriered, often at significant cost.
BoardPro's Board Pack feature streamlines this process by allowing board members to access their Board Pack online as soon as it is available.
Generate a Board Pack
Once the draft agenda is complete, click Publish Agenda.
Publishing the agenda automatically generates the Board Pack.
After the Board Pack has been created, you can notify board members that it is available for review.
Tip: It is recommended that Board Packs are made available at least three days before the meeting to allow participants sufficient time to prepare.
Make last-minute agenda changes
If you need to make changes after publishing the agenda, click Edit Agenda.
This allows you to:
Add or remove agenda items
Upload new documents
Replace existing documents
Update agenda content
If you add or modify agenda items, BoardPro will prompt you to rebuild the Board Pack.
Note: If you remove or delete an agenda item, BoardPro automatically rebuilds the Board Pack.
After rebuilding the Board Pack, decide whether board members should receive an updated Board Pack notification.
Add spreadsheets to a Board Pack
Spreadsheets can be difficult to convert to PDF because page layouts, tabs, columns and rows may not display as expected. BoardPro supports spreadsheets in the following ways.
Convert the spreadsheet to PDF before uploading
If the spreadsheet should appear within the merged PDF Board Pack, convert it to PDF in its native application (for example, Microsoft Excel) before uploading it.
This allows the document owner to control:
Page layout
Page width and scaling
Repeating header rows
Visible worksheets
Print settings
Attach the spreadsheet file directly
You can also attach an XLS or XLSX file directly to an agenda item.
BoardPro will include a link to the spreadsheet in your board pack that can be downloaded.
