How can I tell if a board member has accepted their invitation?
You can check a person's status from the People page in BoardPro.
Login access indicates the person has accepted their invitation and completed registration.
No login access indicates the person has not yet accepted their invitation or has not received one.
MFA status shows whether the person has enabled Multi-Factor Authentication (MFA) on their account.
If needed, you can resend an invitation from the person's menu in the People page.
Can we use a shared email address for a BoardPro account?
BoardPro recommends that each user have their own unique email address.
Using shared or role-based email addresses (such as treasurer@ or president@) can create challenges when individuals change roles, access needs to be transferred, or historical records need to be maintained. Individual email addresses help ensure accurate user records, simplify access management, and provide a more secure experience.
If you use a shared email address, we recommend having a clear process for managing access and updating account details as responsibilities change.
To help maintain continuity, consider using a generic name (for example, "Treasurer" rather than an individual's name). This allows the account to remain associated with the role while preserving historical records and activity.
When responsibility for the account is transferred to a new person, we strongly recommend updating the account password to ensure secure access.
How can I help a board member who has forgotten their password?
If a board member has forgotten their password, there are two ways to reset it:
An Administrator can send a password reset email from the People page by opening the three-dot menu next to the person's name and selecting the password reset option.
Alternatively, the board member can reset their password on the BoardPro login page by following the steps. For detailed instructions, see the related article: How to reset your forgotten password.
How can I change a Board Member's name?
There are two ways to update a person's name in BoardPro, depending on your role.
Administrators, Board Secretaries, and Chairs can via the Edit (3 dots) on the People page at the end of the Person's name.
Individuals can update their own personal details at any time under their menu and select Settings on the top right when logged into BoardPro
Can I change someone's email address?
If a person's status is "Invitation Pending," an Administrator, Board Secretary, or Chair can update their email address before they accept the invitation.
Open the person's profile from the People page.
Update the email address.
Select Grant Access to resend the invitation to the new email address.
If the person already has login access, they must update their own email address from Settings. For security reasons, administrators cannot update an active user's email address on their behalf.
If the person no longer has access to their previous email address and cannot log in, they will need to be invited again using their new email address. An Administrator, Board Secretary, or Chair can:
Add the person using their new email address.
Grant access to the new account.
Remove the old account if it is no longer required.
Note: Historical records, comments, and activity will remain linked to the original account. Any current responsibilities, assignments, or access permissions may need to be reassigned to the new account.
My board member serves on multiple boards using different email addresses. Can these accounts be merged?
No. BoardPro does not support merging multiple email accounts into a single login.
Each email address creates a separate user account to maintain security, preserve historical records, and ensure roles and permissions remain clearly defined across organisations.
If the board member would like to use a single email address and password going forward, they will need to choose a preferred email address and ask an Administrator from each organisation to:
Add them using their preferred email address.
Grant the appropriate access level and permissions.
Remove their old account if it is no longer required.
This process will need to be completed separately for each organisation they belong to.
Important: Historical records, such as meeting attendance, minutes, votes, comments, and actions, remain linked to the original account and cannot be merged. Current responsibilities and actions can be reassigned to the new account where required.
