Clarifying the goals of each item helps the board understand what will be discussed and what decisions need to be made. Categorisation and colour coding also help board members quickly identify expectations — whether an item is for discussion, information, or decision-making — allowing them to prepare effectively for key discussions.


Available agenda purposes

For Noting

Definition: Indicates information that board members should acknowledge but that does not require discussion or a decision.

Usage: Use this when the board needs to formally acknowledge receipt of information, often for compliance or governance tracking purposes.

Examples:

  • Compliance reports

  • Regulatory updates


For Decision

Definition: Signifies that the board must formally decide or approve the agenda item.

Usage: These items typically involve proposals, resolutions, or actions requiring a vote or formal agreement from the board.

For Discussion

Definition: Indicates topics intended for open discussion and exploration.

Usage: These items are used to gather feedback, viewpoints, or ideas from board members and may help inform future decisions.

For Information

Definition: Indicates information board members should review and understand but that does not require action or decision-making.

Usage: These items provide background information or updates to help keep the board informed.
