Select Minutes to Be Confirmed

Select past meeting minutes to confirm in the agenda

The Confirm Minutes agenda item makes it easy to include and confirm minutes from previous meetings in your agenda.


Add minutes for confirmation

  1. While drafting your agenda, click the Confirm Minutes agenda item.

  2. A list of available minutes will appear.

  3. Select the minutes you want to confirm.

  4. The selected minutes will appear under Minutes to Be Confirmed.

  5. The selected minutes are automatically included in the board pack.


Postpone minutes

If you want to postpone minutes that have already been added for confirmation:

  1. Click the three-dot menu next to the minutes.

  2. Select Remove.

The minutes will be returned to the Available Minutes list.


Troubleshoot missing minutes

If the Available Minutes list is empty or a specific meeting is missing, check the following.

A. Check the status of the source meeting

  1. Go to the meeting where the minutes were created.

  2. Check the meeting status.

If the status is Draft Minutes, click Finish Draft Minutes to move the minutes to the review stage.

B. Check whether the minutes are already scheduled for confirmation

Minutes that are already in review may have been scheduled to be confirmed at another meeting.

To check:

  1. Go to the meeting page for the source meeting.

  2. Look for a message showing the meeting date where the minutes are scheduled to be confirmed.

Alternatively, look for the option to set the confirming meeting.

Note:
Each board or committee has its own separate workflow for confirming minutes. Minutes cannot be scheduled for confirmation across different boards or committees.
