How to Select Past Meeting Minutes to Confirm in the Agenda

BoardPro’s “Confirm Minutes” agenda item makes it easy to include and confirm minutes from previous meetings in your board agenda.

How to Add Minutes for Confirmation

  1. While drafting your agenda, click on the “Confirm Minutes” agenda item.

  2. A list of Available Minutes will appear.

  3. Select the minutes you want to confirm from the list.

  4. The selected minutes will now appear under “Minutes to be Confirmed”.

  5. These minutes will be automatically included in the Board pack.

Need to Postpone Minutes?

If you’ve added minutes to be confirmed but want to postpone them:

  1. Click the three dots next to the minutes.

  2. Select Remove to return them to the “Available Minutes” list.

If the “Available Minutes” list is empty or missing a specific meeting, follow these steps to resolve it:

1. Check the Status of the Source Meeting

  • Go to the meeting where the minutes were created.

  • If the status shows “Draft Minutes”, click Finish Draft Minutes to move them into the Minutes in Review stage.

2. Check if the Minutes Are Already Scheduled for Confirmation

  • If the minutes are already in Minutes in Review, they may have been scheduled to be confirmed at another meeting.

  • To verify:

    • Go to the Meeting page of the source meeting.

    • Look for a message showing the date it is scheduled to be confirmed.

or a button to set the confirming meeting.
