Smart Agenda Item: Confirm Minutes

Simply link a past meeting to this meeting to automatically include the Minutes in this Board Pack

BoardPro includes a Smart Agenda Item called Confirm Minutes, which allows you to link previous minutes to your current meeting, so the past minutes can be confirmed during the current meeting.


Link Minutes to the Agenda

When the meeting status is Draft Agenda or Draft Minutes:

  1. Select the Confirm Minutes agenda item.

  2. Choose the previous minutes you want to confirm.

When you select previous minutes, it moves to the Minutes to be confirmed list.

A PDF of the selected previous minutes is available to review before confirmation.

To postpone confirmation, open the context menu () next to the meeting and select Remove. This returns the minutes to the available list.


Requirements for a Meeting to appear

For previous minutes to appear in the list:

  • The past meeting status must be Minutes in Review.

  • The past meeting must not already be scheduled for confirmation at another meeting.

  • The past meeting must belong to the same board or committee account. For example, minutes from a committee account cannot be confirmed from a board account.


What happens next?

  • When the Board Pack for the current meeting is generated, the selected previous minutes are automatically included in the pack.

  • When the current meeting reaches Draft Minutes, a blue Confirm button is displayed.

  • After the previous minutes are confirmed during the current meeting, the previous meeting is updated to show that its minutes have been confirmed.


Confirming minutes across accounts

Each board or committee account has its own independent workflow for confirming minutes. Minutes cannot be confirmed between separate board and committee accounts using this feature.
