How to Request Signatures for Minutes - new UI

Easily send a signature request to the Chair or designated signatory to approve your meeting minutes

Have you already received a signature request? Skip to "Sign the Minutes" if you need help with signing.

When taking Minutes for a meeting, the Confirm Minutes Smart Agenda Item allows you to confirm the Minutes of a previous meeting.

Next to the set of Minutes being confirmed, click the blue Confirm button.


A pop-up will appear with the options Confirm as Presented or Confirm with Changes.


After selecting your preferred option, toggle Request Signature to proceed.

Click the Signer 1 drop-down menu to select the primary signer.
You can optionally choose a second signer under Signer 2, or leave it blank if only one signature is needed.

Once you've selected your signer(s), click Confirm to proceed.


The Confirm Minutes agenda item will update to show the minutes are confirmed and Pending Signature.


BoardPro will automatically send signature requests to the selected signers.

Note:
If you accidentally choose the wrong signer, you can easily remove them and start over.

  1. Ensure the minutes are still in the Draft Minutes stage.

  2. Next to the meeting you're confirming, where it says Pending Signature, click the three dots (Context Menu).

When you click Reverse, a pop-up box will ask you to verify that you want to Reverse the minutes. "Are you sure you want to do this? Once reversed, any signatures or signature requests will be removed." Click the red Reverse button.

Note:

You must do the steps to confirm as presented or with changes, and add the new signee's name(s).
