Minutes Signing

Learn about the process of requesting signatures and signing your Minutes in BoardPro.

Request signatures

If you have already received a signature request and need help signing, skip to How to Sign the Minutes.


​When taking minutes for a meeting, the Confirm Minutes Smart Agenda Item allows you to confirm the minutes from a previous meeting.

  1. Next to the set of minutes being confirmed, click Confirm.

  2. In the confirmation window, choose whether to confirm the minutes as presented or with changes. If required, record any changes, then enable Request Signature

  3. From the Signer 1 dropdown, select the first signer. If required, select a second signer from Signer 2, or leave it blank.

The Confirm Minutes agenda item updates to show the minutes are confirmed and pending signature. BoardPro automatically sends signature requests to the selected signers.



Sign the Minutes

When your signature is requested, you will receive an email with a direct link to sign the minutes. You can also access minutes awaiting your signature from the Signatures Required section at the bottom of your Dashboard or in the BoardPro Notes iOS app.

  1. Click Sign the Minutes to open the minutes. BoardPro automatically adds a signature field to the end of the document.

  2. Click the signature field to open the signing tools.

  3. Choose one of the following signing methods:

    • Draw – Draw your signature using your mouse, finger or a stylus on a touch-enabled device.

    • Image – Upload an image of your signature. Supported file types are PNG, JPG and JPEG.

    • Type – Type your name and choose from a range of signature styles.

Important:

Regulations vary between regions and use cases regarding which forms of electronic signature are legally accepted. If you are unsure whether your chosen signing method is valid, seek advice in your local jurisdiction.

  1. If you want to reuse your signature in future, select Save Signature.

  2. Click Done.

  3. Review the signature preview, then click Agree & Finish to complete the signing process
