If you have accidentally started taking minutes or need to amend an agenda or pack, you can roll the meeting back.
In BoardPro, meetings progress through several key stages such as Published Agenda, Draft Minutes, Minutes in Review, and Confirmed Minutes. Understanding these stages helps in navigating the rollback feature effectively.
Rolling back the Draft Minutes to the Published Agenda
Rolling back allows users to revisit previous stages, ensuring flexibility without losing data or progress.
There are two ways to do this:
1. Go to the context menu (3 dots) on the top right of your meeting page and click on Published Agenda.
2. If editing your Minutes, click on Roll Back on the top right-hand side.
A pop-up box will open asking for confirmation to roll back.
If you find yourself back on the Published Agenda after adding any Minutes, whether by accident or design, please note that they have not been lost or deleted. They are visible within the agenda but have been moved to the background.
Additionally, rolling back does not affect agenda items or associated documents. They remain part of the session and visible on the platform.
You need only click on Take Minutes again, and your minutes will once more become available.
Note:
You cannot unpublish or roll back a published agenda to an earlier draft agenda stage in BoardPro.
However, publishing the agenda only builds the board pack—no one is automatically notified, so you have full control over when and who to notify about its availability.
If you need to make changes after publishing, you still can edit your agenda.
Handling Documents and Annotations
Annotations on existing documents in the board pack are preserved during a rollback. To ensure annotations transfer to updated documents, upload new versions using the identical file name as the original.
