Manage Committees

Add, remove and manage committee licences within BoardPro.

Note: Only users with the Chair, Administrator or Board Secretary access role can manage committees. Administrator-level access is required to create and manage committees.

You can add or remove committees from your main board account.

For the best experience, consider using committees for specialised groups or workflows, and separate board accounts for subsidiaries where appropriate. This helps keep governance records organised and avoids unnecessary complexity.

Each committee functions as a fully independent workspace with the same functionality and security as your main board.


Add a Committee

From your main board, select Committees from the left-hand menu.

Click + Add Committee.

Enter the committee name, then click Create.

A dialogue will display the prorated charge for the committee along with a preview of your next subscription renewal.

BoardPro shows the exact prorated cost before the committee is created, providing full transparency over any charges.

Choose either Confirm Payment or Try for Free.


Confirm Payment

Selecting Confirm Payment will immediately charge the prorated amount, and your subscription will automatically increase the number of committee licences to match the number of active committees.

Once the committee has been created, you can import people (and their interests) from your main board into the new committee.

Note:

Committee workspaces are completely independent from your main board. People, meetings, documents and permissions are managed separately to help protect sensitive information.


Try for Free

You can trial a fully functional committee for 10 days at no charge. During the trial, a licence management notice will be displayed.

When you're ready to keep the committee, click Add more licences to update your subscription.

The dialogue will display the prorated charge for today and a preview of your next renewal. Click Confirm Payment to complete the subscription update.


Delete a Committee

From your main board, select Committees from the left-hand menu.

Click the three-dot menu beside the committee and select Delete.

Select Yes, delete to confirm.

Before deleting a committee, export or download any information you wish to keep, for example:

  • Download actions and meeting documents from Meetings.

  • Download governance and meeting documents from Documents.

  • Export decisions from the Decision Register using a date range.

Deleted committees appear under Deleted Committees and can be recovered for up to 30 days. To restore a committee, click the three-dot menu beside the committee and select Recover.

After deleting a committee, you can reduce your subscription to match the number of active committees by selecting Manage Licences at the top of the Committees page.


Manage Committee Licences

If you have more committee licences than active committees, you can reduce the number of licences on your subscription.

  1. Open Committees.

  2. Select Manage Licences.

  3. Update the number of committee licences to match your active committees.

  4. Confirm the subscription change.

Note:

  • Deleted committees remain recoverable for 30 days. During this time they are inactive and cannot be accessed.

  • After 30 days, the committee and all associated data are permanently deleted and cannot be restored.

  • Deleting a committee does not automatically reduce the number of committee licences on your subscription.

  • Subscription changes are typically reflected in your next billing cycle. If you require an immediate adjustment, contact BoardPro Support.

  • Before deleting a committee, ensure you have exported any actions, governance documents and decision records you wish to retain.

Important:

Deleting a committee is different from deleting a meeting. Deleted committees can be recovered for 30 days, whereas deleting a meeting is permanent
