Reversing confirmed minutes removes the official confirmation status and should only be done when necessary (for example, to add missing signatures or correct an error). Any changes must be made with the full knowledge of the Chair and the Board.
Before you start
Only Administrators, Chairs, and Board Secretaries can reverse Confirmed Minutes.
The meeting where the Minutes were confirmed must be in the Draft Minutes stage. If it is currently in Minutes in Review, roll it back to Draft Minutes first. From the top right of the meeting page, select the three dots, then select Draft Minutes.
Note: Any signatures and amendments made at the time of confirmation will be permanently removed when you reverse the confirmation.
How to reverse Confirmed Minutes
Go to the meeting where the Minutes were confirmed. For example, if your May Minutes were confirmed in June, open your June meeting.
Check that the meeting is in the Draft Minutes stage. You can see the meeting stage at the top right of the meeting page.
Click Edit Minutes.
Find the relevant Confirm Minutes Agenda Item and click the three dots (context menu) on the right side of the Confirmed Minutes.
Select Reverse.
In the confirmation pop-up, click Confirm to proceed. The Minutes will be returned to Minutes in Review.
After reversing
The Confirmed Minutes will return to Minutes in Review. You can now edit them and re-confirm them at the next appropriate meeting.
If signatures were previously added, they will have been removed. You will need to request signatures again when the Minutes are re-confirmed.
If you need to edit the Minutes content, go directly to the meeting and make your changes before re-confirming.
Can't see the Reverse option?
If you only see a download icon and no three dots menu next to the Confirmed Minutes, check the following:
Go to the meeting where the minutes were confirmed.
Make sure that meeting is in the Draft Minutes stage. If it is in Minutes in Review, roll it back to Draft Minutes first.
Check your role. Only Administrators, Chairs, and Board Secretaries have access to this option.
