Once minutes have been confirmed, it is not best practice to unconfirm them for a myriad of Governance issues.
However, in some cases where it is necessary to unconfirm, for example, when signatures are not added, it is possible to reverse Confirmed Minutes in BoardPro.
This option is only available to the roles of Administrator, Chair and Board Secretary.
The meeting, where the Minutes were confirmed, must be in Draft Minutes for you to reverse previous minutes.
If the meeting is in Minutes in Review, you must roll back to the Draft Minutes stage.
Steps to unconfirm/reverse your minutes:
Go to the meeting where the minutes were confirmed
In the agenda item where the minutes were confirmed, click on the three dots (context menu) next to the confirmed minutes
Click 'Reverse'
In the pop-up box, confirm that you want to reverse. Note that if there were previous signatures or any amendments made at the time of confirmation, these will be removed.
Once the previous minutes have been unconfirmed, you can click Confirm to add any signatures or make any necessary changes.
