How does the interest register work across board and committee accounts in BoardPro?

The interest register is a crucial feature in BoardPro for managing conflicts of interest. However, it's important to understand how it operates when dealing with multiple accounts, such as a main board account and one or more committee accounts.

Introduction to Separate Accounts in BoardPro

BoardPro is designed to manage boards and committees as independent entities with their own dedicated accounts. This separation applies to all features, including the interest register. Each board and committee account maintains its own standalone interest register, ensuring that their data remains distinct and independent.

To find the interest register for a specific board or committee, navigate to the 'Boards' menu in BoardPro. Select the particular board or committee you wish to access. Once inside, go to the 'People' area, where you can manage the members and their respective interest registers.

Manual Updates for Interest Registers

Due to the independence of each account, updates made to an interest register in one account do not automatically reflect in other accounts. For example:

  • If a board member's interest is added or removed in the main board account, the change will not automatically update in any committee accounts.

  • To keep interest information current across both the board and its committees, you need to manually make changes in each account’s interest register. This ensures accuracy but requires manual effort to synchronize data among accounts.

User Experiences for Multi-Group Membership

Board members who belong to multiple accounts—such as a main board and one or more committees—will see separate interest registers for each account they are part of. Here’s what this means:

To access the interest register: Navigate to the 'Boards' menu in BoardPro and select the desired board or committee. Then, proceed to the 'People' area where you will find the members and their interest information.

  • Members access each interest register based on the account they are viewing. For instance, while viewing the board account, they’ll see the board’s interest register; when viewing a committee account, they’ll see that committee’s register.

  • Interests do not sync across accounts, meaning users need to update their information separately in each register if they are responsible for maintaining accuracy in both a board and its committees.

Troubleshooting Blank Committee Interest Registers

If a committee's interest register appears empty, this typically means no interests have been added to that specific committee account. Since interests are not shared between the board and its committees, you need to manually populate the committee account with the relevant interest items.

To address this, you can locate the interest register by going to the 'People' area under the committee's specific account and manually add the relevant interests.

Importing Interests

  • BoardPro does not currently offer a feature to sync or globally manage interest registers across multiple board accounts.

  • If you import people into a committee from its parent board account you can also copy across their interests.

  • Keeping interest registers up to date requires manual effort, but this ensures data integrity and separation between boards and committees.
