What AI Assistant does
AI Assistant lets you ask questions about your board materials and receive direct, sourced answers without manually searching through documents. It works across your board packs, meeting records, and organisational history stored in BoardPro.
Think of it as asking your board pack a question and receiving a clear answer with the source included for verification.
Before you start
AI Assistant works with content already stored in your BoardPro account. The more complete your board packs and meeting records, the more useful it becomes. If you're new to the board, AI Assistant can surface years of institutional history, not just recent material.
How to access AI Assistant
Navigate to a board using the left-hand menu, then select Ask AI in the top-right corner.
AI Assistant is available across meetings, documents, actions, and decisions within that board or committee.
Note: AI Assistant only works within the current board context. If you belong to multiple boards, navigate to the correct board first.
When opened from a board pack or document, AI Assistant automatically uses the current document as context. The dropdown at the bottom of the chat will display
You can change this if you want to search across broader organisational content.
Suggested prompts
AI Assistant includes suggested prompts to help you get started, such as summarising documents or identifying key themes.
Sources
Every response includes a source reference showing where the information was retrieved from. If a response seems incorrect, check the source first.
Your conversation history
Conversations are saved for 30 days so you can return to earlier research sessions. Your can have up to 30 previous conversations saved at any given time.
How AI Assistant works
AI Assistant is powered by a large language model (LLM), similar to tools such as ChatGPT and Claude. When you ask a question, it uses:
Your BoardPro content, including documents, meetings, and decisions
General knowledge learned during training from publicly available information
This is why AI Assistant can answer general questions even when the information is not stored in your board materials. AI Assistant is most accurate when working with your organisation’s content, where responses are sourced and verifiable.
Always verify before acting
AI Assistant includes source references with every response.
Like all AI tools, it can occasionally return inaccurate or incomplete information.
Before acting on important information, open the source document and verify the content.
Note: Repeated summaries usually occur because the same information appears multiple times in the source material.
Your data and privacy
Your data stays yours
AI Assistant only accesses content within your organisation’s BoardPro account.
Permissions are respected
AI Assistant follows your existing BoardPro permissions. If you cannot access a document directly, AI Assistant cannot reference it.
Chats are private
Other users, including administrators, cannot view your conversations.
Your data is not used for training
AI Assistant uses Azure OpenAI under enterprise terms that prohibit customer data from being used for model training.
Organisation-level control
Administrators can enable or disable AI Assistant for the entire organisation.
Getting more out of AI Assistant over time
AI Assistant becomes more useful as your organisation’s history in BoardPro grows.
For organisations with years of board records, it provides a fast way to access institutional knowledge.
