Learn how your board can sign documents in BoardPro using eSignatures

How to Request Signatures

In Governance Documents, open the Options menu on the document and select Request Signature. This option is available for all type of documents except spreadsheets.

Selecting this option will open a popup where you can see the document and place signature fields at appropriate locations.

Select the first signer from the drop-down menu, then drag and drop the required fields from the sidebar onto the document. If the field is not correctly sized for your document, you can adjust it by selecting the field and resizing with the circular grab handles.

You can place as many signature fields as you like for the same signer. If you need to place fields for multiple different signers, simply select a different person from the drop-down menu to place fields for them.

Note: You cannot select someone as a signer who cannot access to the document. Click here to find out more.

Once all required signature fields are placed, select Next at the bottom right to notify the the signers.

The notification popup will appear and BoardPro will automatically select the signers based on the signatures fields placed in the document.

Here you can customise the greeting, and the include any additional comment or note for the signers. Click the Send button for sending the email notices to all signers

How to Sign the Document

Signers receive an email notice for signing the document. From the email, you can click the Review & Sign button to directly open the document in BoardPro for signing.

The signature request will also show under Pending Signatures on the Home page of BoardPro, or in the BoardPro Notes iOS app. Select Sign Document to open the document for signing.

Once you're ready to sign, select Review & Sign at the bottom right. The document will automatically scroll to the first signature field.

The signature field will be highlighted for you to sign. Click the signature field to sign the document. This will bring up a popup for your signatures.

You can choose to Draw, upload an Image or Type your signatures, and optionally choose to save the signatures for reusing later.

When you add both signature and date fields, the date fields are automatically filled with the current date after your signatures are placed. If your signatures are required in more than one location, you will see a Next button. Click on this button to automatically scroll to the next signature field.

Once all signers have signed the document, a completion notice will be sent out to the requester. Documents are converted to PDF once signed.

People who cannot be selected as a Signer

There are multiple reasons why a person in your organisation may not have access to a document, and therefore cannot be selected as a signer:

  1. The person has not accepted their invitation to join your organisation in BoardPro.

  2. The document is contained in a Board Only folder, and that person is not a board member.

  3. The person has had their access to your organisation revoked.
