Upload a Document to Governance Documents

Upload reference documents to the document repository.

Every board or committee includes a document repository where you can store reference documents for future meetings.

The Governance Documents area is available under Documents in the main navigation. In committee accounts, this is labelled Committee Documents.

Users with the Administrator, Senior Executive, Board Secretary, and Chair roles can upload and manage documents. If you cannot see the option to add documents, your user role may not have permission. Board Member users cannot upload documents.


Upload documents

Navigate to Documents and select Governance Documents.

Choose whether to upload documents to the main folder or create a subfolder to organise your files.

Drag and drop your files into the page, or click Add in the top-right corner.

Once uploaded, you can move documents between folders using the three-dot menu beside each file.


Supported file types

BoardPro supports most common file types used by boards and committees, including:

.csv, .doc, .docm, .docx, .dot, .dotm, .dotx, .eml, .gif, .jpg, .jpeg, .msg, .odp, .ods, .odt, .pdf, .png, .potm, .potx, .pps, .ppsm, .ppt, .pptm, .pptx, .rtf, .twbx, .txt, .xls, .xlsb, .xlsm, .xlsx, .xlt, .xltm, and .xltx.

Important:

  • Files can be up to 50 MB each.

  • You can upload up to 10 files at the same time.

  • There is no limit to the number of documents you can store in the repository.

  • Audio and video files are not supported.

Tip:

If a file exceeds the 50 MB limit, compress it or split it into smaller files before uploading.


Create subfolders

You can upload documents directly to the main folder or create subfolders to organise your repository.

Using folders for different years, projects, or topics can make documents easier to find.

Tip:

Use consistent file names, such as Board Pack – March 2026, to make documents easier to identify.


Troubleshooting upload issues

If you experience problems uploading documents:

  • Check your internet connection.

  • Clear your browser cache.

  • Try a different supported browser.

If you cannot locate a document, it may be stored in a locked folder. Contact an Administrator to unlock the folder, move the document, or update your permissions if required.


Reference Governance Documents in meetings

To reference an existing Governance Document in a meeting:

  1. Open the document in Governance Documents.

  2. Copy the document URL.

  3. Paste the link into an agenda item or meeting minutes.

This provides quick access to historical documents without uploading them again.
