Every board or committee account includes a repository to store any reference documents the board may refer to from time to time and use in a meeting in the future.
BoardPro provides users with a comprehensive system to upload, organize, and manage governance documents efficiently, ensuring optimal document management for boards and committees.
The repository 'Governance Documents' area is located under Documents on the main navigation bar. (Note: appears as 'Committee Documents' if you are in a committee account). The Administrator, Board Secretary and Chair roles can add documents to the repository.
Users with Admin, Chair, and Board Secretary roles are equipped to manage permissions and settings for document uploads in BoardPro, ensuring that only authorized personnel have access to sensitive documents.
Occasionally, users may encounter errors during uploads, such as browser issues or internet connectivity problems. Clearing browser cache or switching browsers can often resolve these issues, while stable internet connectivity is essential for a smooth upload process.
BoardPro will accept most common file types that a governance board would use. Accepted file types: .csv, .doc, .docm, .docx, .dot, .dotm, .dotx, .em, .gif, .jpg, .jpeg, .msg, odp, .ods, .odt,.pdf, .png, potm, .potx, pps, ppsm, .ppt, .pptm .pptx, .rtf, twbx, .txt, .xls, .xlsb, .xlsm, .xlsx, .xlt and .xltx
accepted files up to 50MB each in size
You can add 10 files simultaneously at a time
You can as many documents into the repository as you need
Files exceeding the 50MB limit can be split into smaller parts or compressed before uploading to ensure compatibility.
You can add documents directly to your main folder, and you can also create subfolders.
To upload documents for a Board meeting, navigate to the agenda detail page, choose the specific agenda item, and upload the papers directly to the relevant section.
If upload issues persist, consider clearing your browser's cache and cookies, as well as trying an alternative browser to rule out browser-related problems.
Admins play a critical role in managing permissions for document uploads. If role-based access permissions need adjustment, contact an Admin as they are authorised to make updates.
You can drag and drop files and also move them to another folder by clicking the three-dot menu next to each file.
