Flying Minutes is a feature of the Premium and Ultimate Plans. If your board subscribes to the Essentials Plan, you will not be able to use this feature.
First, on your Settings page, go to your Quorum and Participation tab:
Scroll down to your Flying Minutes settings and check that they are set up as needed.
To add a Flying Minute, go to your Between Meetings page, click the Add button, and select Flying Minute.
In the box that opens:
Add a title
Select an organiser (only those with the access role of Chair, Administrator, Board Secretary, or Senior Executive will appear on the list)
Add the start and close times of the vote
Set a Reminder Notification that the vote will be closing → 4 options to choose from, including: Never, 2 hours (default), 8 hours, and 24 hours.
5. The Voters. BoardPro automatically adds every Board Member as a voter (those with the tick mark next to their name on the People page). If you need to remove any voters, BoardPro will alert you if your Flying Minute Automation settings have not been met.
6. Change the greeting and how their name will appear in the email notification
7. Add in the motion (this is compulsory)
8. Attach any required supporting documents
Once all the information is added, save it as a draft or start the Flying Minute.
If Draft is selected, it will not be visible to the Board Members until you are ready and click on Start Flying Minutes.
Once you save a Flying Minute as a Draft, you can reopen it to continue editing it and start the Flying Minute when you are ready.
Once you click Start, BoardPro will email a notification to everyone with login access from the Voters list.
When you click Start Flying Minute, unless the vote is to open trimmediatey it will move into a discussion phase where your Board Members can discuss the motion and supporting documents before the Vote begins.
