How to record an approved Flying Minute in the Minutes of the next Meeting

Flying Minutes is a feature available with the Premium and Ultimate Plans. If your board subscribes to the Essentials Plan, you will not be able to access Flying Minutes.

Flying Minutes are one of BoardPro's between-meeting collaboration tools.

Once a Flying Minute has been approved and voting has closed, it is automatically recorded in the Decision Register and can be included in the draft minutes of the next meeting.

This helps ensure decisions made outside scheduled board meetings are formally recorded as part of your meeting minutes.


Include a Flying Minute in the Minutes of the Next Meeting

When you begin taking minutes for the next meeting after a Flying Minute has been approved, you will see an additional option to include decisions from Flying Minutes under the Close meeting agenda item.

  1. Open the meeting and begin Take Minutes.

  2. Navigate to the Close meeting agenda item.

  3. Leave Include decisions from Flying Minutes... selected (this is selected by default).

Only clear this option if the meeting is an extraordinary board meeting. For regular board meetings, it should remain selected.

Note:

The Include decisions from Flying Minutes... option only appears when there are approved Flying Minutes available to include.


Troubleshooting

If your Flying Minutes are not appearing, check the following:

  • The Flying Minutes have not already been linked to another meeting.

  • The Flying Minute is not showing an Outcome Pending status. If it is, check your organisation's Flying Minute automation setting. If it is set to We will always manually select the outcome of the vote, the outcome must be recorded manually before the Flying Minute becomes available to include in the minutes.

Note:

Flying Minutes are added under the Close meeting agenda item and are only displayed in the minutes preview and exported PDF.

Between Meeting Reports do not integrate automatically into meeting minutes. If you want to include them, they must be attached manually to the agenda or minutes.


Include a Flying Minute in a Later Meeting

If the board chooses to record the Flying Minute in a later meeting instead, you can clear Include decisions from Flying Minutes... during the draft minutes stage.
