Why transcript quality matters
AI Minutes generates draft meeting minutes from the transcript you upload.
The clearer and more accurate your transcript, the better the quality of the generated notes, Actions, and decisions.
Use participant names
Where possible, configure your recording or transcription software to identify participants by name rather than generic labels such as "Speaker 1" or "Speaker 2".
This helps AI Minutes correctly assign Action owners.
Tip:
If participant names are unavailable, AI Minutes assigns Actions to the agenda presenter or meeting administrator instead.
Record clear audio
For the best results:
Encourage one person to speak at a time.
Minimise background noise.
Position the recording device close to participants.
Avoid multiple conversations at once.
Clear audio produces a more accurate transcript and better draft minutes.

AI Minutes supports a wide range of transcript file formats, including:

Each transcript file can be up to 50 MB.
If your meeting produces multiple transcript files, upload them all to the same meeting. BoardPro automatically combines them before generating your minutes.
Improve transcript accuracy
To help AI Minutes generate the best possible draft:
Attach board papers to your agenda items before generating minutes.
Ensure participants are identified by name in the transcript where possible.
Upload every transcript file if your meeting recording is split into multiple parts.
Review your transcript for obvious errors before uploading.
Protect sensitive information
BoardPro deletes uploaded transcript files once AI Minutes has finished processing them.
The recording platform you use may have its own privacy and retention policies. Check your provider's documentation if your organisation has specific security or data retention requirements.
