AI Minutes is part of BoardPro AI and is available on the Premium and Ultimate plans.
Do I need an agenda before generating minutes?
Yes.
The meeting must already have a published agenda. AI Minutes maps the transcript to your agenda items to generate the draft minutes.
Can I trust AI-generated minutes to be accurate?
Yes. AI Minutes creates a draft based on your meeting transcript, but you remain responsible for reviewing and approving the final minutes before they are published.
Does BoardPro record my meeting?
No. BoardPro does not record meetings.
Record your meeting using your preferred conferencing platform, then upload the transcript into BoardPro to generate your draft minutes.
Is BoardPro AI secure? and what happens to my transcript after Processing
Yes. BoardPro AI processes your transcript securely within your BoardPro environment. Uploaded transcript files are deleted once processing has completed and are not used to train third-party AI models.
Transcript files you upload are deleted from BoardPro's storage within 24 hours of upload.
Where do the generated minutes appear?
Generated minutes appear beneath each agenda item in the standard BoardPro minutes editor, ready for you to review and edit.
What transcript file formats are supported?
AI Minutes supports most common transcript formats, including:

.docx
.json
.odt
.pdf
.rtf
.srt
.txt
.vtt
Is there a file size limit?
Each transcript file can be up to 50 MB.
Can I upload multiple transcript files?
Yes.
If your meeting transcript is split across multiple files, upload them all to the same meeting. BoardPro combines them before generating your minutes.
There is no Import Transcript button?
Your meeting needs to be in the draft minutes stage to upload transcripts so if don't see the import transcript button when taking minutes check the stage your meeting is in. If it's in Minutes in Review, then click Roll back to move your meeting back a step to the Draft Minutes stage.
Can I upload a recording instead of a transcript?
No.

Can I edit the generated minutes?
Yes.
You can edit, add, remove, or rearrange any notes, Actions, or decisions before publishing the minutes.
Can I regenerate the minutes?
Yes.
Delete the generated AI minutes, adjust your AI Minutes settings if required, and generate a new draft using the same transcript.
Can I control how detailed the minutes are?
Yes.
Choose your preferred minute-taking style in Settings > BoardPro AI.
Note: Some minute-taking options are currently in development and may not yet be available.
Why wasn't something discussed during the meeting included?
AI Minutes only generates content for discussions that relate to existing agenda items.
If something was discussed outside the agenda, you'll need to add it manually before publishing.
Why was an Action assigned to the wrong person?
AI Minutes identifies Action owners using participant names in the transcript. If names are unavailable, it assigns the Action to the agenda presenter or meeting administrator.
You can change the owner before publishing.
Why was a due date for my Action added automatically?
If no due date is discussed during the meeting, AI Minutes assigns a default due date.
Review and update any automatically assigned due dates before publishing.
Does AI Minutes automatically update the status of previous actions discussed in the meeting?
No. If an action was discussed and agreed as completed during the meeting, you will still need to manually update its status in BoardPro.
What if our meeting jumped around out of sequence from the agenda?
AI Minutes is designed to analyse the entire transcript and correctly map discussion topics back to their corresponding agenda items, even if they were discussed out of order during the meeting.
Does BoardPro recommend specific recording or transcription platforms?
You can use any conferencing platform that generates a supported transcript file (such as Microsoft Teams or Zoom).
How does AI Minutes handle attribution?
Attribution appears only in the structured fields, not in the body of the minutes.
Notes – no attribution.
Actions – owner(s). If a name is stated in the transcript, the action is assigned to that person. If no name is stated, it falls back to the agenda item presenter, then to the meeting administrator.
Decisions – mover and seconder, where stated in the meeting.
Does AI Minutes learn from our edits or previous meetings over time?
Yes, provided this style setting is turned on. When enabled, AI Minutes references your prior two sets of minutes to infer and match your preferred meeting style and formatting.
Will BoardPro offer built-in audio or video recording in the future?
We are continuously exploring new feature enhancements to improve your workflow. While built-in recording is not currently supported, we welcome your feedback and feature requests to help guide our roadmap.
Does AI Minutes flag legal or compliance issues?
No. AI Minutes focuses solely on summarising your meeting transcript and mapping it to your agenda. It does not monitor, analyse, or flag legal or compliance issues.
Does AI Minutes automatically update any minutes added manually?
No. If a minute was added manually you will still need to manually update it in BoardPro.
