How to Request Signatures

If you have already received a signature request and need help signing, skip to How to Sign the Minutes.

When taking Minutes for a meeting, the Confirm Minutes Smart Agenda Item allows you to confirm the Minutes of a previous meeting.

Next to the set of Minutes being confirmed, click the blue Confirm button.


A pop-up will appear with options to confirm as presented or confirm with changes. Once you have chosen which option (and noted changes, if any), select the toggle to Request Signature.

Click on the drop-down menu labelled Signer 1 to select a signer. You can also choose an optional second signer under Signer 2 or leave it blank if you only need one.

Once you have selected your signers, click the Confirm button.


The Confirm Minutes agenda item will be updated to show that the Minutes are Confirmed and Pending Signature. BoardPro has automatically sent signature requests to your chosen signers.

How to Sign the Minutes

When your signature has been requested for a set of minutes, you will receive an email containing a direct link to sign the minutes. You can also find documents awaiting your signature under the Pending Signatures section of My BoardPro or Home on the web or in the BoardPro Notes iOS app.

Sign the Minutes will take you directly to the Minutes, where BoardPro has automatically added a signature field at the end of the document.

When you are ready to sign the minutes, click on the signature field, and the signing tools will appear:

  1. Draw allows you to draw your signature. Click and drag to draw, or use your finger or a stylus on a touch-enabled device

  2. Image allows you to upload an image of your signature. The accepted file types are PNG, JPG and JPEG.

  3. Type allows you to type your name and choose from a variety of styles:

NOTE: Regulations vary between regions and use cases regarding which forms of electronic signature are legally accepted. We recommend seeking advice in your local jurisdiction if you are unsure whether your chosen method is valid.

If you wish to easily use this signature again in the future, select the Save Signature checkbox at the bottom left.

When you have completed your signature, click Done at the bottom right.

Your signature will be previewed on the document. To confirm the signature, click Agree & Finish.
