Plan availability
Voting is available on the Premium and Ultimate plans. If your board subscribes to the Essentials plan, voting is not available.
Can the vote be opened early, before the meeting starts?
Yes. You can set your meeting to Draft Minutes to open voting for board members before the meeting begins. However, if you need to make decisions between regular board meetings, use the Flying Minutes feature.
Can I change my vote once I have voted?
No. Please ensure you vote carefully.
Can I comment on my vote?
Yes, comments can be added when voting.
What happens if I cannot cast my vote?
If you are unable to vote, contact the Administrator or the Chair.
They can record your vote on your behalf. Once submitted, you will receive an email confirmation. They can also include a comment explaining your decision if you have provided one.
Administrators can use the Help Voters feature to record a vote on behalf of a member if their choice has already been communicated.
Recording Abstentions
Voters have the option to support, oppose or abstain when voting.
Administrators can also record an abstention on behalf of a voter:
Navigate to the voting record.
Select Help Voters.
Add the vote for the relevant member.
Select Abstain.
Save your changes.
Important:
Abstentions indicate the member was present but chose not to vote.
Abstentions do not count as support or opposition to the motion.
For rules on abstentions and participation, refer to Quorum & Participation in Settings.
How can I set up an anonymous vote?
Anonymous voting can be enabled during vote setup under the voting agenda item.
When enabled, voter identities and their selections remain confidential.
Note: Anonymous voting is only available for meeting votes. It is not available for Flying Minutes.
How are non-voters counted?
By default, members who do not vote are considered to have supported the motion.
If this does not align with your constitution, you can change this setting.
To adjust:
Go to Settings.
Navigate to Quorum & Participation.
Select Do not count their votes.
Can I close the vote early?
Yes, although this is not considered best practice. Always check your constitution before doing so.
To ensure non-voters do not affect the outcome:
Go to Settings.
Navigate to Quorum & Participation.
Select Do not count non-votes.
How are non-voters displayed in results?
Depending on your organisation’s settings for handling non-voters, board members may or may not appear as supporting the motion. You can view members who did not vote when Do not count their votes is enabled.
You can then:
Select Approved or Not Approved, or
Cancel and add voters from your board member list
Where can I configure voting settings in BoardPro?
Voting settings can be configured in Settings, under Quorum & Participation.
Here you can manage:
Non-voter handling
Anonymous voting preferences
