Voting is available on the Premium and Ultimate Plans. If your board subscribes to the Essentials Plan, you cannot vote.
Can the vote be opened early, before the meeting starts?
Yes, you can set your meeting to Draft Minutes to open up the vote for Board Members before the meeting begins. However, you can use our Flying Minutes feature if you need to decide between regular board meetings.
Can I change my vote once I have voted?
No, so please vote carefully.
Can I comment on why I chose to vote this way?
Yes, you can if the vote is open.
What happens if I cannot cast my vote?
If you can't vote, please speak with the Administrator or the Chair to help you with your vote. Once they've entered your vote, you will receive an email confirmation of your vote.
They can also leave a comment on your behalf on why you chose to vote this way for the motion if you've given it.
Administrators can use the Help Voters feature in BoardPro to record a vote on their behalf if they have already communicated their choice. To document a member's abstention during a vote, follow these steps:
Navigate to the voting record where the abstention occurred.
Use the Help Voters option (or equivalent tool for editing votes) to add the vote on behalf of the member who abstained.
Select the "Abstain" option to record their decision accurately.
Save your changes to ensure the abstention is documented correctly.
Important Notes on Abstentions
Abstentions reflect that the member was present but chose not to vote.
Abstentions do not count as support or opposition to the vote.
For broader rules on abstentions and participation requirements, consult your organization’s settings under Quorum & Participation, or reference related help articles.
How can I set up an anonymous vote?
Anonymous votes can be enabled during the vote setup process under Settings. Once this option is activated, voter identities and their choices remain confidential.
By default, unless someone expressly votes against a matter, they are deemed to have supported the vote. If this contradicts your constitution, you can change the settings so their vote is not counted. To adjust this, go to the Settings page and navigate to the Quorum & Participation section. Here, you can choose to "Do not count their votes" if you want to exclude absent participants from affecting the vote outcome.
Can I close the vote early, even if not everyone has voted?
Yes, although not good practice, a vote can be closed early -please check your constitution. To do this, update the settings to "Do not count non-votes" under the Quorum & Participation section on the Settings page. This ensures that non-participating members do not impact your vote outcome.
Depending upon your organisation's settings for Handling Non-Voters, Board Members may or may not be listed as having supported the motion.
Under See Details, you will see the names of those who did not vote -if you have the Handling of Non-Votes tagged as Do not count their votes.
Your options are to tick Approved or Not Approved and proceed as usual or cancel and add voters from your Board Member list.
Where can I configure voting settings in BoardPro?
Voting settings can be configured by navigating to the Settings page, under the Quorum & Participation section. Here you can manage non-voter handling, anonymous voting preferences, and other options to align with your organization's requirements.
