What is Multi-Factor Authentication (MFA)?

Multi-Factor Authentication (MFA) adds an extra layer of security to your BoardPro account by requiring a verification code from an authenticator app or email, in addition to your password.


How do I set up MFA on my BoardPro account?

You can enable MFA by going to Profile > Login & Security.

Choose your preferred authentication method (authenticator app or email) and follow the prompts to complete the setup.


Which authenticator apps are supported?

You can use any authenticator app that supports Time-based One-Time Passwords (TOTP), including:

  • Google Authenticator

  • Microsoft Authenticator

  • Authy

  • 1Password

  • LastPass Authenticator


Can I use email instead of an authenticator app?

Yes. BoardPro supports email-based MFA as an alternative to an authenticator app.

Note:

Email verification provides an additional layer of security, although an authenticator app is the more secure option.

You can switch between authentication methods at any time from Profile > Login & Security.


I'm switching to a new phone. How do I move my MFA?

Before switching phones:

  1. Log in to BoardPro on your current device.

  2. Go to Profile > Login & Security.

  3. Either:

    • Disable MFA, or

    • Temporarily switch to email-based MFA.

Once your new phone is ready:

  1. Download your preferred authenticator app.

  2. Log in to BoardPro.

  3. Re-enable MFA and scan the new QR code.


What should I do if I lose access to my authenticator app or change my email or device?

If you've lost access to your authenticator app, changed your email address, or can no longer access your device:

Ask your Account Owner or Board Chair to contact the BoardPro Support team via live chat or email at support@boardpro.com.

After verifying the request, we can disable MFA for your account so you can regain access.


I'm getting multiple BoardPro codes in my authenticator app. Why?

This usually happens if you've disabled and then re-enabled MFA.

Each time MFA is enabled, a new BoardPro entry is created in your authenticator app.

You can safely delete any old or unused BoardPro entries from the app.


Why am I still being asked for a code after disabling MFA?

It can take a short time for the change to take effect.

If you're still being prompted for a verification code:

  • Refresh your login session.

  • Check Profile > Login & Security to confirm MFA shows as Disabled.

  • If the issue continues, contact the BoardPro Support team.


I'm getting an "Invalid Code" error. What should I do?

This is usually caused by your device's time being out of sync.

Try the following:

  • Ensure your phone is set to automatically update its date and time.

  • Try entering a newly generated verification code.

  • If the problem continues, re-scan the QR code by setting up MFA again or contact the BoardPro Support team.


Can I see who has enabled MFA on their account?

Yes.

Go to People in the left-hand navigation menu.

If MFA is enabled for a user, a green tick appears in the MFA column beside their name.


Can administrators require MFA for all users?

No.

BoardPro does not currently support enforcing MFA for all users. Each user must enable MFA individually from their own profile.


Can I use the same authenticator app for multiple BoardPro accounts?

Yes.

If you belong to multiple BoardPro organisations, you can add each account to the same authenticator app. Each BoardPro account will have its own unique verification code.


What happens if I don't set up MFA?

MFA is optional but strongly recommended.

If you choose not to enable MFA, your account will be protected only by your password.
